Being prepared and staying safe

While fundraising is all about sharing your love of donkeys and having fun, please ensure everything is safe and legal. Follow our advice on how to prepare and stay safe when planning your fundraiser.

Charity fundraising

Charity fundraising is regulated by the law. The Institute of Fundraising provides helpful information in the Legal and Insurance section of its free, online resource for voluntary fundraising.

Raffles and lotteries

For small and private lotteries, no licence is required if tickets are sold and drawn on the same day as the event, so we recommend doing this to keep things simple. Public lotteries where tickets are to be sold over an extended period need to be registered with the Gambling Commission.

Food safety and alcohol

If your event includes food, make sure it’s safely stored, hygienically prepared and thoroughly cooked. If you plan to sell alcohol, you or your venue must have an alcohol licence. This can be obtained from your local authority’s website.

Insurance

If taking part in a challenge or event where there is even the slightest possibility of injury, you should consider taking out personal accident cover.

If your event involves the public, it’s essential to have Public Liability Insurance. If you’re using a venue, they may already have it, so do check. The Health and Safety Executive website has further details.

Permission for events held in public

If you’re holding an event in a public place, you must seek permission first from the local authority or property owner. You will also need permission from the people attending your event to take and share any photos of them. Please get in touch with our Community Fundraising Team for advice on this.

Safeguarding

If you are organising an event that involves children, it’s crucial to consider how to safeguard those under 18.

The Institute of Fundraising has lots of helpful tips for keeping everyone safe at events on their website.

Good news, there’s no age limit to fundraise for donkeys! However, if you’re under 18 you need to make sure you have the permission of a parent or guardian first.

First Aid

For first aid assistance or advice regarding an event or challenge, please contact your local St John Ambulance.
